A long form can still produce an unusable RFQ if it collects general contact details but misses the decisive requirement. We map the exchange between the buyer and the person preparing the quotation.
Separate a request from an offer
Scope can include product-linked fields, quantities with units, intended timing, document references and an acknowledgement with a stable enquiry identity. The interface explains which details are optional and which require staff review. A submitted request is not displayed as an accepted price, production slot or delivery commitment.
Where uploads are appropriate, file types, size, access and retention need an agreed design. A first version may use a document reference and a reviewed sharing process instead of accepting sensitive drawings through a public form.
Test incomplete requirements
Use fictional examples for an unknown material, a changed quantity and a missing document. Staff should know who asks the next question and how the buyer's correction stays associated with the original enquiry. Private testing does not send a real RFQ.
